1. Who we are
This notice describes how ClearOperations Ltd, trading as FinanceJoy ("we", "us", "our"), collects and uses your personal data when you use Pulse ("the Service"). ClearOperations Ltd is the data controller for the personal data described in this notice.

2. Personal data we collect
- Account data — name, email address, hashed password, account type (solo or practice), practice name where applicable.
- Profile and settings — preferences and onboarding answers you provide.
- Connected accounting data — financial information we retrieve from systems you connect (e.g. Xero), such as profit and loss, cash balances, and tax deadlines.
- Support communications — messages you send us.
- Usage and device data — IP address, browser type, pages viewed, session timestamps, and similar telemetry.
- Cookies and similar technologies — see section 9.
Payment card details are not collected or stored by us — they are handled directly by Paddle (see section 5).
3. Why we use your data and the legal basis
- To provide the Service (contract): create your account, connect to your accounting systems, generate dashboards, send service emails.
- To support you (contract / legitimate interests): respond to your queries.
- To keep the Service secure (legitimate interests / legal obligation): detect fraud, abuse, and security incidents.
- To improve the Service (legitimate interests): analyse usage, debug, and prioritise features.
- To comply with the law (legal obligation): tax, accounting, and regulatory record-keeping.
- Marketing (consent / legitimate interests): we will only send marketing emails where you have not opted out.
4. How we share your data
We share personal data only with:
- Service providers and subprocessors — hosting, database, email delivery, error monitoring, customer support tooling.
- Paddle.com, our Merchant of Record, who handles payments, subscription management, invoicing, and tax compliance.
- Connected systems you authorise (e.g. Xero), to retrieve your financial data.
- Professional advisers — legal, accounting, where necessary.
- Authorities — where required by law or to protect our rights.
We do not sell your personal data.
5. Payments
Paddle is the Merchant of Record for all subscriptions. When you check out, Paddle collects and processes your payment information directly. Their privacy practices are described at paddle.com/legal/privacy.
6. International transfers
Some of our service providers are located outside the UK / EEA. Where personal data is transferred internationally, we rely on appropriate safeguards, such as the UK International Data Transfer Agreement, EU Standard Contractual Clauses, or adequacy decisions issued by the UK government or European Commission.
7. Data retention
We keep personal data only as long as necessary to provide the Service and to meet our legal, accounting, and reporting obligations. When you close your account, we delete or anonymise your data within a reasonable period, except where we are required to retain it for legal reasons.
8. Security
We use appropriate technical and organisational measures to protect personal data, including encryption in transit, access controls, and regular review of our security practices. No system is perfectly secure, and we cannot guarantee absolute security.
9. Cookies
We use:
- Essential cookies — required to sign you in and keep the Service working.
- Analytics cookies — help us understand how the Service is used.
You can manage cookies through your browser settings. Disabling essential cookies may prevent the Service from working.
10. Your rights
Under UK and EU data protection law, you have the right to:
- access the personal data we hold about you;
- request correction of inaccurate data;
- request erasure of your data;
- request restriction of processing;
- request portability of data you have provided;
- object to processing based on legitimate interests;
- withdraw consent at any time, where processing is based on consent;
- complain to a supervisory authority — in the UK, the Information Commissioner's Office (ico.org.uk).

11. Changes to this notice
We may update this notice from time to time. If changes are material, we will notify you by email or in-app.
